USS HAARY S. TRUMAN, At Sea (NNS) -- Sailors from USS Harry S. Truman's (CVN 75) Supply Department S-3 division must conduct a monthly inventory of their entire stock to accommodate the demands of their shipmates.
"It's important to conduct a store inventory because it helps ensure us we're not missing any items and to see what items we need to re-order," said store operator Ship's Serviceman Seaman Apprentice Seth Jones. "We have to see how much product we sold and how much money we may be off by."
The division uses a Resale Operations Management computer system. The system computes items in the ship stores as well as the vending machines. It lets the division know exactly how much product is in a particular retail outlet and allows the ship's servicemen to reorder stock for replenishment.
"Every month, we have to balance out what items we have on hand and what our computer system is telling us we have," said Ship's Serviceman 3rd Class (SW) Jekendra Scott. "We have to count every single item by hand. It's a very long process, but a very necessary one at that."
Due to the time-consuming nature of counting the items by hand, the retail outlet inventories can often take a full work day to complete. On average, the ship stores employ a four-person team to conduct an inventory while the vending machines are usually manned with five personnel, Jones said.
It's not uncommon for the ship's servicemen to begin preparations the day prior to an inventory, said Ship's Serviceman Seaman Elizabeth Vargas, a ship's store operator.
"Our chain of command tells us when the inventory will be conducted, and we have to start pre-counting the day before," said Vargas. "Then we'll come in the next day and begin performing the actual count."
Inventories of the ship's stores and vending machines require the retail outlets to be secured while the ship's servicemen conduct their assessment. To accommodate their shipmates and the high demand for the products they supply, the S-3 division will usually conduct their inventories over a period of three days. This enables at least one retail outlet to remain open for the needs of the crew while the department takes stock of their inventory.
It is this attention to detail and commitment to their profession that allows the ship's servicemen of Truman's S-3 division to continue supplying quality customer service.
